UltiPro® Helps HR Departments Increase Efficiencies and Reduce Costs by “Going Green”

April 08, 2009

Weston, FL, April 8, 2009 — Ultimate Software (Nasdaq: ULTI), a leading provider of end-to-end strategic human resources, payroll, and talent management solutions, today announced that three of its customers—National Life Group, the San Diego Convention Center, and Scottsdale Healthcare—are realizing business and environmental benefits with UltiPro’s human capital management (HCM) solution, Web-based employee self-service, talent management, and benefits enrollment functionality.

National Life Group is a 160-year-old financial services company licensed in all 50 states and the District of Columbia. With a corporate goal to “go green,” National Life had adopted a number of conservation-minded business practices when leadership decided to take its efforts a step further by moving away from paper-based employee transactions. The company leveraged UltiPro’s Web portal to give associates the ability to see and update their personal HR and payroll details using built-in workflow for approvals and notifications.

“Our company believes strongly in making the world a better place to live,” said Joy Driscoll, HRIS analyst for National Life. “We love that we have eliminated most of the paper that we used for benefits, training, and payroll changes before UltiPro. Now employees can go online to sign up for a professional development course or find last year’s W-2 quickly, without the negative environmental impact associated with paper.”

Day-to-day personnel changes often require paper forms as do HR processes that are performed periodically, such as filling open positions or administering performance appraisals. Using UltiPro’s recruitment and performance management functionality, the San Diego Convention Center has cut its paper trail and unified employee information in one solution. Because the convention center has UltiPro as its human capital management solution instead of relying on multiple solutions, spreadsheets, and manual processes, the organization has significantly cut its use of paper, reduced costs, and streamlined its ability to hire and retain the best people.

“Using UltiPro, we completed our leadership performance appraisal process in record time without forms or manual rekeying of information. When it’s manual, the process slows things down, and information may get lost or misplaced. With UltiPro, the process is much faster and confidentiality is ensured,” said Thomas Mazzocco, vice president of human resources and labor relations for the San Diego Convention Center Corporation. “We feel good about taking steps to protect the environment. It fits with our overall commitment to conservation, for which we have received numerous awards in the past several years.”

In addition to talent acquisition and management, human resources teams are responsible for another task that can be the most paper-intensive of all HR responsibilities—benefits enrollment. Leveraging UltiPro to replace its former solution and processes that required hundreds of manual forms, Scottsdale Healthcare automated its annual open benefits enrollment process for more than 6,000 employees—without the need to print, handle, and mail documents that would have amounted to thousands of pages.

“Before UltiPro, it would take three people one full week to enter benefits selections because we literally had to handle, read, and type in data from thousands of forms,” said Della Martinez, employee benefits supervisor for Scottsdale Healthcare. “With UltiPro’s Web-based features for benefits enrollment, employees can access and manage their own benefits information from a browser whenever it’s best for them, without paper or duplicate data entry by HR. It’s more cost-effective and better for both employees and the environment.”

“Many companies today are realizing the tremendous benefits of ‘going green.’ And they’re not just related to improved conservation of natural resources,” states Greg Swick, chief sales officer for Ultimate Software. “By focusing on green initiatives, companies save money, create efficiencies, better meet organizational goals, and contribute to environmentally sound business practices—all of which add up to a more sustainable workplace for long-term business success.”
